Personal Assistant, Team Coordinator & Office Manager

We are looking for an organised, proactive and people-focused Personal Assistant, Team Coordinator & Office Manager to join Stories at an exciting stage of growth. 

  • PA, Team Coordinator and Office Manager This is a broad and varied role supporting our co-founders, development teams and wider business operations, with opportunities to shape the role around your interests and strengths

  • Opportunity to join an established but small and growing company, reporting directly into Co-founder/COO and Project Directors.

  • Full time, hybrid working, based in London at least 3 days in London or on site; however we would be open to discussing alternative working arrangements.

  • Salary range £40,000 to 55,000 FTE pa, dependent on level of experience.

About Stories

Stories is a purpose-led property development company, and a certified B Corp. We partner with long-term landowners and investors as principal developer, development manager and strategic advisor on projects that have a greater purpose than just financial returns. 


We are at an exciting point in our growth. We have recently secured a number of new projects, ranging from a living-led scheme in central London to a major town centre regeneration in Southampton. We will soon be on-site at our 50% affordable, build-to-rent development at Mill Hill Broadway, as well as the first phase of the once-in-a-generation redevelopment of Mansfield College in Oxford. 


We are continuing to grow our development team to ensure we effectively deliver our existing projects and are set up to deliver future projects.


Coming from different property backgrounds, we set up Stories so we could use our development skills to create positive outcomes for people. We’re currently a team of 14 and we have a rotating Advisory Board comprising some of our industry’s most experienced individuals.

Job Description

We are looking for an organised, proactive and people-focused Personal Assistant, Team Coordinator & Office Manager to join Stories at an exciting stage of growth.


This is a broad and varied role supporting our co-founders, development teams and wider business operations, with opportunities to shape the role around your interests and strengths supporting wider HR, operations, internal events and marketing activities. You will work closely with the wider Stories team and have a significant influence on how the business operates and feels internally.


As a small but growing company, we are looking for someone who enjoys variety, takes initiative and is excited by the opportunity to shape and grow alongside the business.

Key Responsibilities


Personal Assistant – supporting the leadership team with diaries, admin and their day to day roles.


Team Coordinator supporting the development teams, particularly with arranging key meetings and administrative tasks.


Office Management – maintaining a welcoming and organised office environment and dealing with the day to day running of the office


Experience and Qualifications


We will of course look favourably upon candidates who have experience fulfilling this role or similar roles within similar organisations, however, there are no specific qualifications or experience that we require. Everyone has their own story and we are open minded to people from different backgrounds applying for the role. Responsibilities

As we are still a small team, this role is intended to be quite broad. You will be supporting the whole team at Stories, with particular focus on the leadership team.


Your core role is providing personal assistance alongside wider office management and team coordination, but in doing so you should expect to get involved in wider business operations. As the business grows and you establish yourself, you will have the ability to shape this role in whichever way aligns with your interests and meets the needs of the business. Personal Assistant

  • Provide PA support to the Senior Leadership team (three co-founders and two Development Directors), including extensive diary management across conflicting priorities

  • Coordinate travel arrangements, hotel bookings, expenses and general administration

  • Manage project review scheduling and team calendars

  • Support signing, filing and organisation of important documents and agreements

  • Take meeting notes and support follow-up actions where required


Team Coordination

  • Coordinate internal and external project meetings

  • Maintain shared calendars, trackers and internal documentation

  • Support the wider development team with day-to-day administration and coordination

  • Act as a central point of contact for internal requests and operational support


Office Management

  • Ensure office supplies, refreshments and stationery are stocked and ordered

  • Coordinate cleaners, handymen and external contractors

  • Maintain a welcoming and organised office environment, including general upkeep and plant care

  • Support IT administration, equipment ordering, phone contracts, insurance tracking and equipment maintenance

  • Liaise with Workspace personnel, local councils and external suppliers regarding maintenance, facilities and business rates

  • Support health & safety administration and office compliance


HR & Operations

  • Administer company health insurance, including renewals and onboarding new staff members

  • Support recruitment, onboarding and induction processes for new employees

  • Monitor annual leave using Timetastic, helping manage scheduling conflicts and ensuring staff take adequate leave

  • Coordinate training and professional development opportunities

  • Support expense management and account reconciliation

  • Assist with HR administration, contracts and policy coordination


Internal Events

  • Organise monthly team gatherings, learning sessions and company updates

  • Coordinate annual team trips and company celebration events
